DOS Finance Privacy Policy

Operator and scope
Deshaun Ware operates DOS Finance for private Rambo Moving Services and DOS financial recordkeeping. This policy covers DOS Finance only, not other DOS tools or every service on rambomove.com. Public registration is not offered.
The implemented Google readers have been used in staging. The dedicated production OAuth client, grants and HTTPS callback are not complete, and Finance Continuity is not activated for recurring collection.
Data access and storage
With account-holder authorization, the Gmail reader can access account profile information, message and thread identifiers, history information, timestamps, headers, sender and recipient details, subjects, message bodies and attachment metadata. It can retrieve message content before applying its finance selection rules.
For selected messages, decoded bodies and metadata may be retained in Cloudflare D1, while full returned source payloads may be retained in private Cloudflare R2. Stored records can also include source references, integrity hashes, extracted financial fields, classifications and reconciliation history. Selected messages that cannot be parsed can remain retained as unclassified evidence.
The reader does not call the separate Gmail attachments API. A full returned message payload can nevertheless contain inline MIME part data.
The Sheets reader requests only configured workbook/range pairs from the owner-approved Life Dashboard. The Google scopes gmail.readonly and spreadsheets.readonly permit broader reads than those application rules: they are not Google-enforced finance-only, single-workbook or range-only permissions. The implemented readers do not send or change Gmail messages or edit spreadsheets.
Reconciliation may also use existing customer/job context, including names, identifiers, service or payment outcomes and evidence references, plus owner-supplied statements and other evidence files. Records may therefore contain information about customers and counterparties as well as the owner.
Purpose and operating restrictions
The implemented tools use evidence for payment and invoice matching, expense recordkeeping, duplicate detection, coverage checks and owner review.
Under the owner-adopted DOS Finance operating policy, Google-derived data is not sold, used for advertising, used for credit decisions or used to train general-purpose AI models.
Providers, access and security
Google provides authorized Google account data. Cloudflare is a service provider for application hosting, D1 database storage, R2 evidence storage and access controls. These services process information as part of the integration.
Owner-facing application routes use authentication and access controls. Providers and administrators with relevant privileges may also process or access information. Local evidence files, exports and review packages can exist outside Cloudflare; this policy does not claim all copies are held only there.
The implemented Google API requests use HTTPS. Access controls and integrity hashes reduce specific risks but do not guarantee absolute security or prevent every privileged action.
Retention, correction and deletion
The owner has selected preservation of current evidence with manual retention review. Evidence is retained for bookkeeping, reconciliation, audit and recordkeeping needs. No fixed retention duration or deletion deadline is promised.
The current Finance application has no automatic deletion schedule, self-service deletion feature or completed purge workflow. Its normal storage operations preserve evidence history and reject record deletions; corrections can be recorded through additional audit entries.
The owner may request review, correction or deletion through the privacy/support contact below. Destructive deletion requires a separately governed process; this policy does not authorize a purge or promise that a deletion request will be completed by a particular date.
An operational deletion procedure and identity-verification workflow for those requests have not been established in the current Finance implementation.
Revoking Google access
An account holder can revoke app access through Google Account connections. Revocation stops future access covered by it after Google processes the revocation; it may take time to become fully effective. Depending on the connected project, revocation can affect other grants associated with that project.
Revocation does not automatically delete information already retained in DOS databases, evidence storage, exports or other copies.
